Privacy Policy
Effective and last updated October 29, 2026
This Privacy Policy explains how Keystone Cloud Works LLC ("Keystone Cloud Works," "we," "us" or "our"), based in Charlotte, NC, collects, uses and shares information when you visit our website, contact us, book a call or work with us as a client. By using the website or our services, you agree to this policy.
1. Information we collect
- Information you give us. Your name, email, phone number, company, role, project details and anything else you submit through our project form, the booking widget, email or a call.
- Meeting and call content. Audio, transcripts, notes and summaries from calls and meetings with us (see Section 4).
- Client materials. Information, data and documents you or your organization share with us to deliver services, which may include access to your Salesforce or other systems.
- Technical information. Like most websites, our hosting provider receives your IP address, browser type and the pages requested. We do not use advertising or analytics trackers.
2. How we use information
- To respond to inquiries, schedule calls, scope projects and send proposals.
- To deliver, support and improve our consulting, development and related services.
- To keep accurate records of what was discussed and agreed.
- To invoice, collect payment and meet legal, tax and accounting obligations.
- To secure our website and systems and prevent misuse.
- To communicate with you about our services. You can opt out of non-essential messages at any time.
We do not sell your personal information, and we do not share it for third-party advertising.
3. Website forms and booking
When you submit the project form, your details are stored in our Salesforce account as a lead. When you book a call, your name, email, company and note are sent to Salesforce, which creates a calendar event in Google Calendar and emails you an invitation with a Google Meet link. To show open times, the site checks only whether we are free or busy and never reads the details of other calendar entries.
Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Calendar access is used only to find free time and to create the event you book.
4. Call and meeting notes (Granola AI)
We take notes on our calls and meetings, including discovery calls, project meetings and support calls. To do this we use Granola, an AI note-taking tool, which transcribes the conversation from our device's audio and generates notes and summaries. We use these notes to remember requirements, confirm decisions and follow up accurately.
- We tell you at the start of a call that notes are being taken. By continuing the call, you agree to this. If you prefer that we not use AI note-taking, say so at the start or in advance, and we will take notes manually.
- Do not share passwords, payment card numbers, government ID numbers or similar highly sensitive data on a call.
- Transcripts and notes are kept only as long as needed for the engagement and our records, then deleted. See Section 8.
Granola processes this content under its own terms and privacy policy, available on its website.
5. Our use of AI tools
We use AI tools, including Google Gemini and Anthropic Claude, to help with design, software development, documentation, research, drafting and other business operations. These tools may process content we provide to them, which can include parts of your project requirements, code and written communications.
To limit risk, we:
- Share only the information reasonably needed for the task.
- Avoid entering sensitive personal data, credentials or regulated data (such as health or payment card data) into AI tools.
- Use business or paid accounts and settings that restrict a provider's use of our content to improve its models, where those options are available.
- Review AI output before relying on it or delivering it to you. AI can be wrong, and we remain responsible for our work product.
If your contract or your organization's policy restricts or prohibits the use of AI on your data, tell us in writing before the engagement starts and we will comply to the extent the work allows. Our contract with you controls if it conflicts with this policy. AI providers handle information under their own terms and privacy policies.
6. Who we share information with
We share information only with service providers that help us run the business, and only as needed:
- Salesforce, for our customer records, leads and scheduling.
- Google, for Workspace email, Calendar, Meet and Google Fonts.
- Granola, for call transcription and notes.
- Google (Gemini) and Anthropic (Claude), for AI-assisted work.
- Vercel, which hosts this website.
- Payment, accounting and legal or tax advisers, when needed to bill you or meet obligations.
We may also disclose information if required by law, to enforce our agreements, to protect rights, safety and security, or in connection with a merger, sale or transfer of the business. These providers are located in the United States and possibly other countries.
7. Cookies and tracking
We do not use advertising or analytics cookies. Your browser keeps form details in temporary session storage so the booking step can pre-fill them, and clears them when you close the tab. Fonts load from Google Fonts, which sees your IP address as part of the request.
8. Retention
We keep information for as long as needed to respond to you, perform our services, and meet legal, tax and accounting requirements. Inquiries that do not become engagements are generally deleted within 24 months. Client records and related call notes are kept for the engagement and a reasonable period afterward, then deleted or anonymized. You can ask us to delete your information sooner (Section 10).
9. Security
We use reasonable administrative and technical safeguards, such as access controls, multi-factor authentication where available and encrypted connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach that affects your information, we will notify you as required by law.
10. Your choices and rights
You may ask us to access, correct or delete the personal information we hold about you, to stop using AI note-taking on your calls, or to stop marketing messages. Depending on where you live (for example, California and other U.S. states), you may have additional rights under state privacy laws, including the right to know, delete, correct and opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by those laws. To make a request, email davidguzmaninc@gmail.com. We may need to verify your identity first and will respond within the time the law requires.
11. Children
Our services are for businesses and are not directed to children under 16. We do not knowingly collect their information.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. Material changes will be posted on this page, and continued use of the website or our services after a change means you accept the updated policy.
